Introduction 

The client is a company seeking licensure from a regulator (“Client“). Our team recently guided the Client through the intricate licensing process, highlighting our ability to deliver robust regulatory compliance solutions with efficiency and precision. Over the course of 8 weeks, we developed a complete suite of policies and documentation, meticulously aligning each piece with the regulatory requirements and the Client’s operational needs. 

Challenge 

Faced with an intensive licensing application, the Client needed tailored policies and extensive documentation to meet the standards outlined in multiple regulatory rulebooks. The scope of our work included drafting over 20 policies from scratch and compiling the entire submission package with a systematic, organised approach. 

Our Approach 

To ensure a streamlined process, we implemented a series of organisational and communication strategies: 

1. Policy Drafting and Reviewing: Starting from scratch, we crafted policies that aligned with the regulatory framework while addressing the Client’s unique operational requirements. During this process, we sought to incorporate all the pertinent requirements under the regulatory rulebooks into the policies along with industry best practices. Each document underwent multiple rounds of review, to proactively address any points of concern with respect to the practical application of the policies to the Client’s business. 

1. Slack Channel Integrations: To keep communication efficient and responsive, we set up a dedicated Slack channel with integrations that allowed for real-time updates and regular communication between our team and the Client. This channel facilitated immediate responses to inquiries from the Client and continuous tracking of progress. We also posted daily updates of the work done for the day and the upcoming milestones. 

1. Checklists and Trackers: We organised the entire process into a series of bite-sized checklists, breaking down the entire process into manageable parts. Each checklist listed a particular set of documents, broadly divided into company documents, policies and procedures. Each item on each checklist was listed with particulars of the requirements from the client, the current status of the item and the date of the latest update. Real-time tracking ensured the Client was consistently updated on the status of each item, from initial drafting to final submission. 

1. Centralised Documentation Hub: All necessary documents, including draft policies, procedures, templates and other miscellaneous documents were consolidated into a centralised folder, accessible to the Client’s team. This organisation ensured seamless document management and version control throughout the process. The documents were maintained on the cloud, allowing real-time reviews and revisions by both the Client and our team. 

1. Strategic Partnerships: Beyond policy drafting, we supported the client by providing introductions to certain partners whose services were essential for regulatory compliance, including banking, custody solutions, and other infrastructure needs.  

1. Ongoing Support and Guidance: We provided ongoing guidance on every regulatory requirement outlined in the regulator’s rulebooks. Our team addressed each inquiry—whether small clarifications or strategic concerns—to ensure all documentation met compliance standards and supported the Client’s operations.

Through this structured approach, we delivered a complete and compliant licensing application within 8 weeks, achieving a comprehensive submission with over 20 policies within the stipulated timeline, adhering to all milestone commitments. The Client now has a solid regulatory foundation, with policies and documentation that not only meet their immediate compliance needs but are adaptable for future business growth.
